Soft-POS

A till that knows every phone by its IMEI.

A till and back office for shops that sell, repair and buy back devices: IMEI tracking on every phone, repairs, trade-ins and gift cards, and a till that keeps taking cash when the internet drops.

For Independent UK phone, computer and electronics shops

The Soft-POS till: a product grid by category, each with price and stock, beside the current sale.

The problem

General-purpose tills treat a phone like a tin of beans. Device shops need to know which handset went to which customer, what’s in for repair and what was bought over the counter, usually in a spreadsheet beside the till.

What it does

9 things Soft-POS does properly

01

Keeps selling offline

Cash sales carry on with no connection. Each one is saved on the till first and sent when the connection returns, and can never be counted twice.

02

IMEI on every phone

A tracked phone needs its IMEI before payment. Any device can be traced to its sale and return history, and clashes go to a manager.

03

Repairs and warranties

Job cards, a board from booked in to ready to collect, parts from stock, and warranty claims linked to the original sale.

04

Trade-ins and part-exchange

Buy devices from customers with the seller’s ID check and a signed declaration, then take the value off a sale.

05

Gift cards and loyalty

Sell and redeem gift cards on the till, and let customers earn and spend points you set yourself.

06

Returns and refunds

Refunds use the price and VAT recorded on the sale and never exceed what was paid. Above the cashier’s limit, a manager approves with their PIN.

07

Stock across shops

Purchase orders, goods in, stocktakes, transfers between branches and low-stock alerts, with stock kept as an append-only ledger.

08

Reports for you and your accountant

Sales, VAT and margin reports, cash-ups and Z-reports, card-machine checks, and a daily takings journal in Xero, QuickBooks or Sage layout.

09

Works with your hardware

Barcode scanners, thermal receipt printers, cash drawers, label sheets and a customer display. The till also builds as an Android app.

Quality bars

Rules it doesn’t break.

Sales are never duplicated
Every sale gets its ID on the till, so resending it returns the original result.
Conflicts are flagged, not overwritten
An IMEI sold twice or a card result nobody is sure of is kept and put in front of a manager.
The ledger is append-only
Sales, payments, stock movements and the audit log can’t be edited, and a return is a new linked record.
Shops stay separate
Postgres row-level security isolates each shop’s data, and the API’s database role can’t bypass it.

Straight answers

What it doesn’t do (yet)

  • Taking subscription payments: billing runs on a stand-in until Stripe is connected
  • Live stolen-IMEI checks: the check is a stand-in and checks nothing yet
  • Integrated card terminals: the till records the result from a standalone card machine
  • Receipt printing inside the Android app, which needs hardware chosen first
  • Barcode product look-up, which waits for a data provider
