ERP for medicines wholesale
Softilo Dispense
GDP records and the ledger in the same transaction.
Accounts, stock and Good Distribution Practice records in one system: batch, expiry, quarantine and Responsible Person release sit in the same transactions as the general ledger and stock valuation.
For UK pharmaceutical and medical-device wholesalers

The problem
Wholesalers keep GDP records in one place and accounts in another, so proving where a batch went, or what it was worth, means pulling both together under inspection.

What it does
6 things Softilo Dispense does properly
Quarantine on receipt
Batch and expiry on every line. Stock arrives in quarantine and expired stock is refused.
Responsible Person decisions
Release, reject, re-quarantine and recall, recorded with who, when and why. The database refuses anyone who isn’t an active RP.
FEFO dispatch
Only released, in-date batches go out, earliest expiry first, respecting each customer’s minimum shelf life.
Customer licences
POM and P medicines go only to customers with a verified, in-date entitlement, kept with each dispatch.
Cold chain
Data-logger import and excursion detection. Exposed stock goes on hold until an RP records an assessment.
Controlled drugs and recalls
A running CD register per product, batch tracing from supplier to every customer, and a printable RP audit pack.
Quality bars
Rules it doesn’t break.
- The books always balance
- An unbalanced journal is refused by the database at commit, and money is never held as a floating-point number.
- History can’t be rewritten
- Journals and the audit log are append-only. A correction is a new entry.
- Each business sees only its own
- Postgres row-level security keeps companies apart, even if application code has a bug.
- Batches equal stock equals ledger
- Integrity checks tie batches to stock and stock to the ledger.
