Placements with compliance gates

KID, Status Determination Statement and IR35 status are checked before anyone starts, with a National Living Wage warning.

Timesheets

Draft, submitted, approved by a named client approver or rejected, then invoiced. Approved timesheets are frozen by the database.

Client billing

Invoices raised from approved timesheets, a line per timesheet and rate type, with VAT and due dates from client terms.

Permanent placements

A fee as a percentage of first-year salary, with a rebate from the client’s sliding scale if the candidate leaves early.

AWR and umbrella checks

A 12-week tracker with breaks, and an umbrella register that blocks placements through a suspended or failed umbrella.

Margin and books

Gross margin by placement, client or consultant, quarterly intermediaries report data, and the agency’s ledger, VAT and banking.

Rules it doesn’t break.

The books always balance: An unbalanced journal is refused by the database at commit, and money is never held as a floating-point number.
History can’t be rewritten: Journals and the audit log are append-only. A correction is a new entry.
Each business sees only its own: Postgres row-level security keeps companies apart, even if application code has a bug.
Accruals match timesheets: Integrity checks tie worker pay accruals to approved timesheets, and debtors to open invoices.
